Start with the problem, not the technology
The wrong question is "how can I use AI?". The right question is "which repetitive task takes me hours every week?" or "which question do customers ask me over and over?". That is where artificial intelligence pays off in a small business.
The Algarve has features that make some uses especially valuable: customers of many nationalities, strong seasonality and small teams that are stretched in summer.
6 practical uses
1. A multilingual website assistant
An assistant trained on your business information (services, opening hours, reference prices, policies) answers frequent questions in Portuguese, English, German, French or any other language, at any time. For holiday rentals, restaurants, car hire or services for foreign residents, this means answering people who ask at two in the morning from another time zone.
The key is that the assistant answers only from your documents (a technique called RAG) and hands the conversation to a person when it does not know.
2. Request and email triage
AI can read requests arriving by email or form, classify them (quote, complaint, booking, general question), extract the important details and route them to the right person. In high season, this stops requests from getting lost in the inbox.
3. Draft replies and quotes
Instead of writing every reply from scratch, the team gets a draft prepared from the request and previous replies, and only has to review and send it. People still decide; AI saves the writing time.
4. Extracting data from documents
Supplier invoices, delivery notes, scanned forms: AI can read these documents and move the data into a spreadsheet or your management software, reducing manual work and typing errors.
5. Searching company knowledge
Manuals, procedures, product data sheets, contracts. An internal assistant lets your team ask "what is the procedure for..." and get the answer with its source, instead of digging through folders. It is especially useful for training seasonal staff quickly.
6. Content and translations with human review
Product descriptions, social media posts and website page translations can be prepared with AI and reviewed by someone on the team. Human review is essential: the final text has to sound like your business and be correct.
Privacy and GDPR
Before sending customer data to any AI tool, check:
- Where the data is stored. Whenever possible, prefer hosting in the European Union.
- Whether the data is used to train the provider's models. In professional solutions, this should be possible to switch off.
- Which data is actually needed. Send only the minimum.
- Transparency. European AI rules expect people to know when they are talking to an automated system. Label the assistant as such.
Where to start
- Pick one process that takes time every week.
- Gather the information the solution will need (FAQs, documents, examples).
- Start small, measure the time saved, and only then expand.
- Always keep a person in the loop for cases the AI cannot handle.
Conclusion
AI does not replace your relationship with customers, which is often what sets a local business apart. Applied well, it frees up time for that relationship.
